2. What this policy covers
This policy applies to the ubiquicore.com website. Where we publish mobile or desktop applications, this policy also applies to them unless the application provides its own privacy notice, in which case that notice takes precedence for that application.
3. The data we collect
Information you give us
When you use our contact form or email us, we collect the information you choose to provide: typically your name, your email address and the content of your message. We use this information solely to respond to your enquiry and to keep a record of our correspondence with you.
Information collected automatically
Like most websites, our hosting provider keeps standard server logs when you visit. These may include your IP address, the date and time of your visit, the pages you requested, the referring website and your browser type and operating system. This information is used to operate the website securely, to diagnose problems and to protect against abuse. We do not use it to identify you personally.
Cookies and tracking
We do not set any cookies of our own on this website, and we do not use advertising trackers or third-party analytics. Our hosting provider may set strictly necessary technical cookies that are required to deliver the site; these do not track you across other websites.
4. Why we use your data and our lawful basis
- Responding to your enquiries and communicating with you about them. Our lawful basis is our legitimate interest in responding to people who contact us, or, where your enquiry leads to a contract, taking steps at your request before entering into that contract.
- Operating and securing the website, including preventing spam and abuse. Our lawful basis is our legitimate interest in running a safe and reliable website.
- Complying with legal obligations, such as keeping business records that we are required to retain.
We do not use your personal data for marketing unless you have asked us to, and we do not make automated decisions about you.
5. Who we share your data with
We do not sell your personal data. We share it only with service providers who process it on our behalf and under our instructions, namely:
- our website hosting provider (Vercel Inc.), which serves the website and keeps server logs;
- our email delivery provider (Twilio SendGrid), which transmits messages submitted through the contact form to us; and
- our business email provider (Microsoft 365), where your correspondence with us is stored.
We may also disclose personal data where we are required to do so by law, or to protect our rights, property or safety or those of others.
6. International transfers
Some of the providers listed above are based, or store data, outside the United Kingdom, including in the United States. Where that is the case, we rely on safeguards recognised under UK data protection law, such as the UK International Data Transfer Agreement or Addendum, adequacy regulations, or the provider's certification under the UK Extension to the EU-US Data Privacy Framework.
7. How long we keep your data
We keep contact form submissions and email correspondence for as long as necessary to deal with your enquiry and for a reasonable period afterwards for record-keeping, normally no longer than 24 months, unless the correspondence forms part of a business relationship or we are required to keep it for longer by law. Server logs are retained by our hosting provider for a short period, typically no more than 30 days.
8. How we keep your data secure
The website is served over HTTPS, and messages submitted through the contact form are transmitted over encrypted connections. Access to correspondence is restricted to the people who need it to respond to you. No method of transmission over the internet is completely secure, so please do not send us sensitive or confidential information through the website.
9. Your rights
Under the UK General Data Protection Regulation and the Data Protection Act 2018 you have the right to:
- request access to the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to erase your data in certain circumstances;
- ask us to restrict how we process your data in certain circumstances;
- object to our processing where we rely on legitimate interests; and
- receive a copy of the data you provided to us in a structured, machine-readable format.

We would appreciate the chance to address your concerns first, so please contact us before approaching the ICO.
10. Children
This website is not directed at children under 13, and we do not knowingly collect personal data from them. If you believe a child has provided us with personal data, please contact us and we will delete it.

We may update this policy from time to time. The date at the top of the page shows when it was last changed. Significant changes will be highlighted on this page.
